HexaPiper improvement checklist

Saved 17 Oct 2026. Items 1–18 are done. Payroll direct deposit and tax forms stay a separate project.

First five — in the app now

  1. Done
    1. Needs you today

Company admins, managers, and accountants see one list: timesheets waiting, clocks still running after 8 hours, invoices past due, unpaid rent, and open tickets. Each row opens the screen that fixes it.

Dashboard, top of the company cards.
  2. Done
    2. Manager actions on the phone

A manager sees who is clocked in, approves a timesheet, or sends it back with a note. This is on the Clock tab of the Android app.

Android clock screen. Rebuild the app to pick it up on a phone.
  3. Done
    3. Phone alerts in the background

Chat, task, and ticket alerts, plus the 8-hour clock reminder, post as phone notifications after the app is closed. The phone checks about every 15 minutes, and again shortly after you leave the app.

Allow notifications when the app asks. Rebuild the Android app.
  4. Done
    4. Offline clock punches

If the signal drops, Clock In and Clock Out stay on the phone and sync in order when the connection returns. The original time is kept.

Android clock screen. Rebuild the app.
  5. Done
    5. Setup checklist that finishes

The company admin dashboard checks four real steps: billing contact, a second user, a customer or vendor, and a plan. Finished steps stay checked. The card turns into “Setup complete” when all four are done.

Company admin dashboard, where the old onboarding tips were.

Done — items 6 through 12

  1. Done
    6. Quotes that become invoices

An estimate the customer can accept, then turn into an invoice without retyping.

Accounting → Quotes. The accept link works without a login. Convert makes a draft invoice.
  2. Done
    7. Repeating invoices and automatic reminders

Send this invoice every month, and email a reminder when it is overdue.

Repeat monthly on an invoice. The daily 8:00 job creates the next invoice and emails overdue reminders.
  3. Done
    8. Time off next to the clock

Request leave, approve it, and keep those days off the missing-punch list on hours for payroll.

Time → Time off, and the missing-weekday list on Hours for payroll.
  4. Done
    9. A simple shift plan

A weekly shift grid compared with actual punches, so late and absent stand out.

Time → Shift plan. Late means the first punch is more than 15 minutes after the shift start.
  5. Done
    10. Optional job-site check-in

When a company turns it on, a punch records the job and that the person was at that site.

Jobs page checkbox (also on company settings), job latitude and longitude, and the Site column on Who is clocked in. Off until a company turns it on.
  6. Done
    11. A live bank connection

Connect the bank so reconcile no longer starts with a CSV upload, and deposits match invoices as they arrive.

Accounting → Bank feed. Needs this company’s Plaid keys. CSV reconcile is unchanged.
  7. Done
    12. One search box

Find a customer, invoice, task, document, note, patient, or property from anywhere in the app.

Search box in the top bar, on screens wide enough to show it.

Later — after 6 through 12

  1. Done
    13. iPhone clock app

The same clock, timecard, tasks, and alerts on iPhone.

Apps → Open on iPhone. In Safari, Share, then Add to Home Screen. Alerts after the phone is closed stay on the Android app.
  2. Done
    14. Monday report emails

A short Monday note: last week’s hours, unpaid invoices, and anything waiting for approval.

Sent Monday at 8:00 to each company admin. Demo companies are skipped.
  3. Done
    15. Sign leases and BAAs in the app

A tenant or a clinic signs on the page.

Lease page → Email a signing link. BAA send includes a sign-on-the-page link.
  4. Done
    16. One inbox for email and text

A reply from email or text lands in the same customer thread.

Messages and Emails show the same thread. An emailed reply link, or an inbound email hook, is stored next to text replies.
  5. Done
    17. Start a real company from a demo

Keep the menus and sample structure, and drop the fake people and dollars.

Demo banner → Start a real company. The new company keeps the industry menus and starts empty.
  6. Done
    18. Parts and stock

Items on hand, a low-stock warning, and a link from a job or invoice. For automotive, retail, manufacturing, and DME.

Parts & stock. Low stock is on Needs you today. A job use or an invoice line with the part name reduces quantity on hand.

Payroll direct deposit and tax forms stay a separate project. Pay runs and pay slips already exist.
